Status:            Hourly – Full Time, Onsite
Supervised by:        Development Manager
Supervises:        Volunteers

Position Overview: The Volunteer Coordinator is responsible for recruiting, onboarding, supporting and training volunteers who support all departments at House of Refuge. The Volunteer Coordinator supports and/or leads the implementation of various community and corporate service projects. This includes small, medium and large groups, reoccurring project management, and one-time service events from start to project completion. This is an important role that contributes to many facets of the organization.

Position Summary: Reporting to the Development Manager, the Volunteer Coordinator, will assist with all aspects of promoting, touring, training, obtaining, and maintaining our volunteer base. Activities include but are not limited to attending outside community events to solicit volunteers, coordinate volunteer tours and orientations, required follow up to secure volunteers, acquire necessary paperwork required to volunteer at House of Refuge, onboarding, scheduling, tracking, and volunteer appreciation.  This position will work collaboratively with other departments and team members to ensure successful recruitment of all departments’ volunteer needs.  Create systems and processes tied to volunteer programs.  Plan, organize and execute Volunteer Appreciation events. Organize hard and electronic files for Points of Light certification. Required to create and/or maintain spreadsheets, presentations, documents, databases, and reports. This position will be expected to correspond with staff, vendors and volunteers who offer services to House of Refuge.

Duties and Responsibilities:

  • Cultivate new and maintain existing volunteer relationships with key community partners, corporations, and individuals.
  • Schedule and conduct volunteer orientations and tours.
  • Prepare paperwork for volunteer orientations.
  • Conduct site tours for volunteer orientations.
  • Onboarding and follow-up of volunteers, processing and documenting paperwork, and managing information related to volunteers and their activities.
  • Manage and respond to calls and texts using the company-issued volunteer cell phone for inquiries and volunteer needs.
  • Responsible for creating and distributing monthly e-newsletter to the volunteer community, and other contacts as needed. 
  • Work collaboratively with other departments and team members to ensure successful recruitment of all department's volunteer needs.
  • Create systems and processes related to volunteer programs.
  • Will be able to plan, organize, and execute Volunteer Appreciation events. 
  • Organize hard and electronic files for Points of Light certification, and leads the efforts of the organization to obtain and maintain the Points of Light certification.
  • Schedule and conduct site visits to assess the feasibility of projects, establish relationships, and set expectations for volunteers.
  • Develop work scopes, leadership & skilled requirements, and supply lists for projects.
  • Coordinate and execute all-day logistics to accomplish project goals.
  • Plan, organize and lead customized volunteer projects for House of Refuge (1-100 volunteers)
  • Complete project follow-up with project results and evaluations.
  • Research and develop volunteer programs. 
  • Maintain relationships with all volunteers.
  • Assist with technology and database management.
  • Provide additional programmatic support as needed.
  • Participate in organizational planning and special projects as needed/requested.

Education/Experience:
  • High School Diploma Required, associate degree preferred.
  • Ability to pass a background clearance and drug test.
  • Valid Arizona Driver's License, and proof of automobile insurance.
  • Volunteer management and community service experience, are preferred.
  • Knowledge of Points of Lights Certification preferred.
  • High level of computer proficiency with Microsoft Office and Google/Google Docs required.
  • Excellent time and email management.
  • An in-office work schedule is required, with the ability to work weekends (Saturdays) as needed. 
  • Ability to demonstrate delivery of high-quality results.
Physical Work Environment:
  • Will occasionally work irregular hours including evenings and weekends.
  • Will participate in physical work involved in prepping volunteer projects- packing, loading/unloading, cleaning, painting, landscaping, and events.
  • Will be exposed to warm/hot weather.
  • Lift and carry (up to 25 lbs.)
Salary and Benefits:
The starting hourly range for this position is $18-$20 based on experience.
