Job Type: Full Time
Hours: Monday-Thursday: In-Office (8:00am-5:00pm) / Friday: At-Home (9:00am - 4:00pm)
Compensation: $18+/hr

Job Summary: Advanced Neuropathy Center is seeking a highly skilled and passionate receptionist to join our team. You will play a crucial role in the success of our clinic by taking and making phone calls, scheduling new patient appointments, checking patients in for their appointments at the office, introducing new patient screenings, and helping with seminars and marketing efforts throughout the community. Your communication skills will help keep the office’s schedule full, keep the flow of the day moving at the right cadence as well as help our patients feel that our clinic is the right place for them to get the help they need. 

Responsibilities: 

  • Answer incoming calls
  • Make outbound calls
  • Respond to text messages 
  • Respond to incoming faxes
  • Follow-Up with leads who haven’t booked
  • Follow-Up with no show/cancelled appointments
  • Schedule new patient appointments
  • Schedule & invite leads to attend seminars/events (if applicable)
  • Schedule current patient treatments and re-exams
  • Scan patient paperwork into system and upload into patient files
  • Make new patient guidebooks
  • Keep paperwork, business cards, brochures, pens, etc. stocked
  • Assist the Marketing Manager with any tasks that he/she asks for help with: new lead forms, social media management, photo/video content, scheduling events, etc.
  • Update stats/KPIs into appropriate software
  • Report specific stats to Office Manager and Marketing Manager on a daily basis
  • Help handle patient concerns and/or direct to the appropriate staff member
  • Help generate referrals, Google reviews, Facebook reviews, etc.
  • Knowledge about the company's products & services to assist customers effectively (we will train you).

Qualifications:
  • Communication: 
    • Preferred: Bilingual (English and Spanish)
    • Strong verbal and written communication skills. Ability to communicate clearly and effectively with leads & customers over the phone and in person.
  • Customer Service Skills: Excellent customer service skills are a must. This includes being patient, empathetic, and able to handle inquiries, complaints, and requests professionally.
  • Problem-Solving Abilities: Able to analyze customer issues and find solutions or provide guidance to resolve problems.
  • Multitasking: Ability to handle multiple phone calls or tasks simultaneously.
  • Patience: Ability to deal with irate or frustrated customers & remain calm under pressure.
  • Computer Skills: Proficiency in using computer systems and software for managing customer information and recording interactions.
  • Adaptability: The ability to adapt to changing customer demands, company policies & software updates.
  • Time Management: Being able to manage time effectively to handle a high volume of calls or tasks is crucial.
  • Empathy: Showing empathy toward customers' concerns and needs can enhance the customer experience.
  • Sales Skills: Help build value of what our clinic has to offer in order to get a lead to schedule an appointment. 
Requirements:
  • Customer Service/Receptionist/Phone Experience is a must!
  • Medical experience is helpful, but not required - we will train, educate and certify the right person!
  • Marketing experience is helpful, but not required - you will be expected to help with marketing efforts
